Events, Membership & Communications Manager

Job Purpose
The develop and manage Athletics Northern Ireland’s competitions and calendar of events; to lead on development of organisational communications and; to be responsible for development of the overall membership offer of the organisation and its online membership database.

MAIN AREAS OF RESPONSIBILITY

Event Organisation
The Events, Memberships & Communications Manager will have a key role in the Senior Management Team. They will lead, develop and manage Athletics Northern Ireland’s calendar of events ensuring advance planning and delivery of quality events for athletes, clubs and international teams. They will project manage top tier events including making applications for funding to public sector bodies, partners and potential sponsors. They will line manage and supervise support staff and work effectively with the Marketing Team and our officials and sub-committees.


Duties to include:

  • Plan, prepare and organise all aspects of events promoted by Athletics NI
  • Directly lead on the management and organisation of key events
  • Create and maintain the event business cases in line with the current financial procedures.
  • Management of day-to-day operations including developing, implementing and monitoring office systems, including database management of club membership lists, online entry systems.
  • Train relevant staff on the use of online entry and other event systems
  • Lead the Marketing Team to ensure all events are fully promoted and branded
  • Leading partnerships with key organisations to ensure Athletics NI events are delivered to the highest standard. Attendance at external events, to undertake management & coordinating duties
  • Build an effective events team across Athletics NI including working with committees, marshals, officials, members and volunteers.
  • Assisting the Officials Coordinator with the deployment of officials and volunteers at events.
  • Supervising the Admin & Events Assistant to ensure relevant events administration is carried out satisfactorily – including permits, returns, online entries & club membership lists
  • Ensure safety protocols are followed around use and maintenance of the starter’s gun and ammunition.
  • Deputise for CEO in relation to event management in her absence.


Membership

  • Oversee the overall membership offer of the organisation including online database management & development and any changes to membership categories or costs passed at AGM.
  • Updating developing and maintaining all databases ensuring GDPR compliance is adhered to at all times.

 

Media and Communications

  • Overall Oversight of the organisational Communication Strategy and collaborate with Senior Managers to engage full staff compliment in organisational wide communications.
  • Oversight of planning and delivery of key messages created by individual departments and support staff teams to implement communication messages.
  • Supervising the Marketing Team to ensure relevant marketing duties are carried out satisfactorily – including social media content creation, news stories, maintenance of marketing databases etc.
  • Liaise with appropriate staff at UK Athletics to ensure that their communication strategy is appropriately implemented in NI and that sponsored UKA initiatives as they occur in NI are properly branded and serviced.
  • Build up excellent working relationships with key journalists and relevant media contacts.
  • Manage key media service contracts and review and evaluate key service providers e.g. PR, Advertising, Design and Print
  • Oversight of relevant data and insight for the organisation to ensure future practice is evidence based.
  • Oversight of the maintenance of the websites and ensure the effective use of Facebook, Twitter and other social media throughout the organisation
  • Train relevant staff and athletes in handling media queries and interviews

 

People Management

Support the CEO in providing leadership and direction for staff and in particular the Events, Memberships & Communication Team ensuring they are fully equipped to do their roles by:

  • Manage team recruitment and development, and maintain regular individual supervision
  • Manage team annual leave, Toil and other absence.
  • Ensure a culture of accountability at all levels through the effective oversight of performance management and appraisal systems across their team
  • Foster effective teamwork amongst the team and with colleagues
  • Monitor daily workload to ensure quality, consistency, and accuracy of engagement with stakeholders, ensuring these team members perform to agreed standards and targets and deal with under performance
  • Ensure that all communication channels effective and that information flows appropriately
  • Ensure adherence to HR policies and procedures
  • Ensure the implementation and communication of the Health and Safety policy across all areas of work to ensure legal requirements are met and a healthy, safe and productive work environment maintained including risk assessments.

 

Organisational Sustainability

  • Work with CEO to ensure Events, Membership and Communication’s work is financially sustainable by establishing viable annual and event budgets to ensure the most efficient and effective use of resources
  • Ensure Events & Communications work is delivered with organisational strategy and policies
  • Manage own budget, keeping under review, to ensure that your budget remains within the targets set.
  • Contribute to the development and implementation of the organisations Strategy & business plan, based on objectives agreed by the Board including preparing reports for the Board and reporting to the Board on request.

 

Professional Development

Continuously strive to develop themselves professionally and improve capability in the leadership of Athletics NI and its staff.

Other

  • Ensure that all Athletics NI policies and procedures are adhered to at all times
  • Any other reasonable duties consistent with the objectives and strategic plan for the
    organisation
    • The post is subject to an acceptable Access NI disclosure
    • The post holder must maintain an appropriate standard of confidentiality and comply with Athletics NI’s Company Rules, Policies and Procedures.

The key responsibilities above give a broad outline of the functions of the post. However, these duties must be approached in a flexible manner. The post holder will be expected to adapt to changing circumstances and undertake other duties appropriate to the grade of the post as allocated by your line manager as part of working in a small team to deliver the objectives of Athletics NI from time to time.

MPT Facility Manager 

Job Purpose

To be responsible for all aspects of the Mary Peters Track and Red Pavilion, including management of staff and facilities to ensure the effective running of both sites.

 

ROLES AND RESPONSIBILITIES

 

Staff Management

  • To be responsible for the supervision of all staff and Mary Peters Personnel, to include managing their recruitment and selection, identifying their training needs and drawing up their programme of work.
  • Set and manage rotas to accommodate the needs of the track
  • To oversee the HR online Holiday and sickness system Breathe
  • Ensure all staff adhere to code of conduct and policies and procedures.
  • Ensure all relevant staff complete Access NI checks and renew every 3 years
  • To ensure all staff complete Health and Safety, Manual Handling, First Aid, Fire and Safeguarding training on a regular basis
  • Ensure that regular team meetings are held

 

Financial & Administration Management

  • Financial management and budgetary control of the Mary Peters Track
  • Responsible for the marketing and promotion of the Mary Peters Track
  • Responsible for preparing senior management reports for CEO Athletics NI
  • Responsible for the management of the Track booking and record keeping.
  • To oversee all invoicing, credit card payments and cashing up.
  • To use the online Finance procurement procedures with PO/Quotes/Tenders
  • Manage the Club funder online membership booking system
  • Ensure compliance with all Mary Peters Track policies and procedures
  • Manage the office and its equipment, PA and digital media
  • Act as an advocate for Athletics NI, ensuring professionalism at all times and maintaining complete confidentiality for any Athletics NI or UKA business.

 

General Facility Management

  • Responsible for all aspects of the maintenance of the full sites (Mary Peters Track and Red Pavilion.)
  • Scheduling and managing of maintenance in order to comply with BCC Maintenance Operations
  • Manage the facility in accordance to UK Athletics code of conduct and facilities guides
  • To organise and deliver all stages of UKA Track Mark Accreditation Scheme, working with all suppliers.
  • Equipment inventory management and procurement
  • Manage the facility in accordance to UK Athletics code of conduct and facilities guides, including arranging for Track Mark Certification
  • Implement Mondo surface maintenance recommendations.
  • Manage and support staff on maintenance duties
  • Manage cleaning of the facilities, managing both cleaning contract and ANI/MPT cleaning staff.
  • Manage compliance to COSHH, including storage of chemicals and cleaning materials
  • Report on any maintenance issues to Belfast City Council as per the terms of the contract
  • Ensure the track, stand and any areas identified as being the responsibility of Athletics NI are kept clean, tidy and free from litter

 

Bookings & Events Management

  • Oversee and maintain booking system and manage bookings. Rota staff accordingly
  • Manage customers’ needs and maintain records of complaints and compliance
  • Generate track activity through community & business events and courses
  • Support Athletics NI governing body staff and coaches in the facilitation of talent development, coach education courses and elite programmes of excellence in athletics
  • Assist with coordination of all Athletics NI Competitions and Northern Ireland & Ulster Championships hosted at Mary Peter's Track, ensuring all necessary facilities, equipment and staff are available as necessary.
  • Organise contractors as appropriate
  • Monitor and report on usage as required under FMA. Agree facilities management with Belfast City Council

 

Health & Safety

  • Ensure staff and facility compliance with legislation and good practice
  • Carry out weekly fire checks in accordance with BCC regulations and ensure all staff receive recommended fire training
  • Ensure that housekeeping is maintained to a high standard in line with Health & Safety Action Plan.
  • Manage First Aid inventory, be responsible for the maintenance of the Defib and ensure staff have relevant First Aid training to meet the needs of the business
  • Act as Health & Safety Officer for the Mary Peters Track, ensuring that the stand, track and surrounding areas are kept safe, clear and of an acceptable working standard.

MPT Track Attendants (Casual)

Job Purpose

To assist the Facility Manager, and colleagues in ensuring the running of the Mary Peters Track, Grandstand and Red Pavilion.

 

ROLES AND RESPONSIBILITIES

 

Competitions & Bookings

  • Ensure the track is set up in preparation for any competitions including ensuring that all equipment is ready for use and the registration and
    control room areas are clean and clear.
  • Assist the Facility Manager, Meeting Manager, ANI Event Manager and
  • Officials throughout the competition with setting up and bringing in equipment.
  • Maintain and erect signage, banners and gazebos for events and sponsors.
  • Casual staff will be requested to work all Major Competitions, some of which are long days.

 

Facility Maintenance

  • To work with the Managers and other Track Staff in maintaining the Track,
    Grandstand, Red Pavilion and facilities.
  • To work with Belfast City Council maintenance departments and subcontractors who are responsible for the overall maintenance and repairs as well as the surrounding parkland and grass areas including the grass infield.

  • When instructed, ensuring all checks are carried out and logbooks completed as instructed.

  • To bring equipment out from the store if required for training as well as competitions. Carrying Hurdles, high jump mats, heavy lifting, and use of power tools

  • Log all repairs in the Handover diary informing the Facility Manager/ Supervisor of any defects or action required.

  • Tidy all the stores and assist with maintenance on athletics equipment, machinery, and tools.

  • Assist with for maintaining all the gates and entry points to the Grandstand and track, oiling locks and padlocks/hinges/Hammer cage pulleys etc.

  • To salt the track during freezing weather and keep clear of snow when feasible to allow safe access by athletes and coaches.

  • Be responsible for opening and locking up the track when necessary and ensuring the whole site is secure by checking Shutters/Alarms/CCTVS.

  • Assist with all Track Maintenance including Power Hosing, Rotavating, Tractors, Strimming, Grass Cutting, Leaf Blowing etc.

 

Other Duties

  • Other duties which may include taking bookings, payments and general admin as directed by the Facility Manager.

 

The post holder will be expected to work both with individual responsibility and as part of a team to meet the needs of the facility, members and users.

Athletics Northern Ireland - Course Measurer

In response to the ever increasing number of road races Athletics Northern Ireland wishes to extend its list of Certified Course Measurers.

Course Measurers work to ensure the accuracy of courses which are advertised as being a particular distance. Accurate measurements mean that Permitted Races can be accredited as being of the advertised distance and are accepted by Power of 10 and RunBritain for ranking purposes.

Basic requirements are:

  • A bicycle
  • A Jones Counter (this can be loaned from Athletics NI)
  • A means of transport to the course to be measured
  • A fair amount of free time

The first step in the process is to complete an on-line introductory test, followed by a practical under the guidance of a qualified measurer. Further information on what course measurement involves can be found HERE.

Anyone interested in becoming a Certified Course Measurer should contact the Athletics NI office to express their interest by email at info@athleticsni.org or calling 028 9060 2707. It should be noted that measurers only receive a modest sum plus travelling expenses, currently paid by Race Directors, for carrying out this task.
